What a custom build actually involves
Custom software is quoted per project because no two workflows are the same. These parts are common to almost every build.
Understanding the workflow before writing anything
The first job is watching how the work is done now — which spreadsheet holds what, which email triggers the next step, which rule everyone knows but nobody has written down. The exceptions matter most: the client billed differently, the job that skips a stage, the approval only one person can give. Software that ignores them gets abandoned, because staff return to the spreadsheet the first time it blocks something they need to do.
A data model that matches the business
Underneath any dashboard is a decision about what things are and how they relate — jobs, clients, quotes, sites, invoices. Getting that right is what makes reporting possible later without rebuilding, and getting it wrong is why so many internal tools cannot answer an obvious question about their own data.

Who this is for — and when off-the-shelf is smarter
Custom is not automatically better than software you can subscribe to. It is better in specific circumstances.
Building something bespoke tends to be worth it when:
- The process is genuinely yours. If how you quote, schedule or price is part of why customers choose you, bending it to fit generic software gives that advantage away.
- You are paying per seat, forever, for a fraction of a product. Subscription costs that grow with headcount, for a tool where your team uses three screens out of thirty, are worth comparing against a one-off build you own.
- Data is being rekeyed between systems. Anywhere someone retypes what another system already knows is a recurring cost and a source of errors.
And where we would tell you not to bother:
- Standard appointment scheduling is a solved problem — start with online booking systems rather than commissioning one.
- Answering the same enquiries repeatedly is a conversation problem, not a database one. An AI chatbot for lead capture handles it for a fraction of a custom build.
- What you actually want is an editable website. Pages, a blog, staff updating content — see WordPress web design, or the packaged tiers on our website pricing page.
- A standard online store. Catalogue, cart, checkout and stock are well-served by e-commerce website design; custom only wins when the pricing rules or fulfilment are genuinely unusual.
What we need to quote it properly
Custom work is quoted per project, so the quote is only as good as what we know before writing it.
- A walkthrough of how it works today. Not the tidy version — the real one, workarounds included. Half an hour watching someone do the job is worth more than a page of requirements.
- Sample data. A real spreadsheet, a few real records, an example invoice or job sheet — that shows the fields, the edge cases and the volumes far faster than a description does.
- Must-have versus nice-to-have, split honestly. This is the biggest lever on cost. A build that does the essential thing well can be extended later; one that tries to do everything at once usually gets less of it right.
- Which systems it has to talk to, and whoever holds the API documentation or account access. If an integration turns out to be restricted, we would all rather know during quoting.
- Who the users are and what each should see, since permissions are much cheaper designed in than bolted on, and where it will run — your hosting, the PHP version and database available, and any obligations around where data is stored.
